Managing Membership Changes

This page covers the administrative steps involved in keeping membership records up to date. It is a working page, expected to grow as further scenarios come up.

Where membership data lives

All membership details are held in Airtable, which acts as the central record. Any significant update to a member's status is registered there first.

When a member changes category

When a member's category changes (for example, moving from Full UK to Non-Practising, or from Non-Practising back to Full UK), the following need to be updated:

  • Airtable: the member's category and status are updated to reflect the change

  • GoCardless: the payment setup is updated to match the new category's fee

  • Mailchimp: the member's tags are updated, so they receive communications appropriate to their new category

  • Find a Practitioner search facility: the member's listing is added, removed, or amended as appropriate (for example, removed for Non-Practising Members, since they cannot advertise as practising)

Self-service detail updates

The Find a Practitioner listing includes a link members can use to update their own details. Requests made through this link are sent through to the office, rather than updating the listing automatically.
