Purpose
To outline the daily operational responsibilities of the Operations and Systems Manager and ensure consistent oversight of core organisational functions.

Scope
This SOP applies to the Operations and Systems Manager and covers the routine daily checks and priority-setting required to keep RCHM operations running smoothly.

Procedure

  1. Start-of-Day Operational Check
    • Review the shared inboxes for membership, finance, and general enquiries.
    • Identify any urgent items requiring same-day action or escalation.
    • Check outstanding tasks from the previous day and roll forward where necessary.

  2. Membership and CRM Review
    • Open Airtable and review new membership applications, renewals, transitions, or pending verifications.
    • Check for any direct debit notifications or payment alerts requiring action.

  3. Finance and Payments Overview
    • Review Stripe and GoCardless dashboards for recent payments, failed transactions, or items requiring reconciliation.
    • Note any issues for follow-up or coordination with the Finance Officer.

  4. Communications and Council Liaison
    • Review any scheduled communications, member updates, or requests from the CEO or Council.
    • Prioritise items that support ongoing projects, compliance deadlines, or upcoming events.

  5. Systems and Risk Awareness
    • Check for any system notifications (Airtable, website, intranet) affecting functionality.
    • Note any data protection, safeguarding, or risk issues requiring logging or escalation.

  6. Daily Priorities List
    • Prepare a concise list of priorities for the day.
    • Share updates with the CEO when relevant.
    • Log completed items in the task tracker for continuity and reporting.
